Board Meeting

January 21, 2007

 

Minutes

 

 

  • Jessica Dutille opened the meeting 6:05 pm

  • Laura Brusseau- gave first year of foundation in review

  • Laura and Jessica discussed Liz Page’s role as Director

  • Laura spoke about 501 c 3 application

  • Brian McCormack- designed logo, made stationary and business cards

  • Jessica and spoke about diversity on the board

  • Read By-laws

  • Laura Brusseau made the motion to accept the By-Laws. Rob Orf seconded the motion. All were in favor

  • Jessica Dutille covered roles of board members- decision making role, fundraising role and meetings. Board members are not expected to

  • Discussed new raffle fundraiser

  • Laura went over her idea about a skateboarding fundraiser. She is thinking about renting a place to hold the event. Participants will enter for a certain fee to enter and to get a t-shirt.

 

Megean Adley mentioned that Lebanon has a skateboarding park. Meagan will speak to Lebanon Recreation Department.

 

  • The board discussed the black tie affair

  • Rob Orf and Meagan Adley will write donation letters for the florist and the event locations for the black tie.

 

  • Entertainment: Laura has one singer that has committed to coming. During dinner have a singer and a pianist and a DJ after dinner.

 

  • Danielle Griffin would action off some of her artwork- for a cut of the profit.

  • Discussed price of dinner-

  • Whitney Mackay suggested that possibly we would have a black or white attire.

 

By the next board meeting we hope to have a date chosen for the black tie dinner, as well as a location.

 

 

Laura suggested that we ask Liz to put together a fundraiser for Valentine’s Day at Plymouth State University.

 

  • Whitney suggested a carnation fundraiser for Valentine’s Day.

 

Fundraiser Ideas:

 

  • One night at a restaurant for some portion of the profits.

  • Karokee Nights, open mic night, fashion shows

  • Bowling night, perhaps at Fun Spot

  • Send letters requesting baby pictures along with fee at a school or club and put together a slide show.

  • Collection boxes or jars in businesses

  • Sell refreshments at PSU- field hockey and or swimming.

  • Design a The Faith, Hope And Love Foundation T-Shirt

  • Send a letter to George Steinbrener, who gives out billions to charities.

 

Next meeting we would like to discuss big fundraisers throughout the year.

 

After meeting the board members presented the winning plaque to Plymouth House of Pizza, for the pizza challenge.

March 6, 2007

Laura called the meeting to order at 7:11 pm.

 

Introduced Ryan O'Donnell to the group!

President's Report - Jess

  • DJ for benefit: ADAPT Inc. It will be 2 kids with a supervisor; Sean O'Brien is head of this program. Discussed and agreed that we will give them dinner for their time DJ-ing.

  • Jewelry from Rhea (Joan Rivers @ QVC NY) was delivered to Jess' home

  • Favors for benefit: she will be working on them with Meg. Meg's mom does Party Lite Candle parties and is donating white votive candles for favors. These will be wrapped in red to match theme.

  • Prom Event: Cleaned out room at Pemi Youth Center to host event. Got everything in order and put up lights. Did some advertising for event—papers, churches and put together flyers

Laura

  • Advertising for benefit—ad in Citizen

  • March 26th - meeting for PSU volunteers

  • Got red and white balloons donated for benefit

  • Contacted friend Claude—he has a band possible entertainment—not for benefit, but maybe another event?

  • Hart's - went and checked out room with Whitney and paid down-payment for benefit $400.00

  • Seating chart - sectioned off groups of people

  • Taxes for FHL - will be done Thursday night, March 8th, pay taxes on what we have made so far.

  • 501 C 3 - not certified just yet, need to fix a few things and get the paperwork back out

  • Winnisquam Trade School - doing the flower arrangements for the benefit—will be $150 for flowers

  • Met with NH Charitable—took some notes down in regards to our foundation and how we can raise $$--over 7000 non-profits in NH—we need to talk with people with work with kids, because we are for kids, most effective way of raising money will be by word of mouth—friends and family

 

Secretary's Report

  • Approved last meetings minutes (Jess did last meeting) Whitney took over this meeting.

Treasurer's Report

  • To date we have $860 in our account

  • Whitney nominated Seth Richards as Treasurer. All were in favor and he accepted.

  • He will go with Laura to get the foundation's taxes done on March 8th

  • $90 donation from President Steen of PSU

  • $25 donation from Pam Beckford

  • Expenses: paycheck to Liz, supplies for invitations (paper, envelopes, labels), stamps and down-payment to Hart's.

Executive Director's Report

  • Contacted Nancy Conklin at PSU

  • Made 2 donation jars

  • Contacted Uno's for fundraising event on March 29th

-will be given coupons which we will make copies of and give out

-lasts all day

-must present coupon

-can be take-out as well

  • Will have next meeting @ Uno's on the 29th

  • Benefit Dinner added on website

  • Contacted people that put together Soul Fest, haven't heard back yet

  • March of Dimes

  • Board of Directors Report - everyone went through what they have done since last meeting. See President's Report for Laura and Jess' and Executive Director's Report for Liz's. Laura also contacted Diane Jeffrey from Silver Cultural Arts Center, as Diane offered to partner with us and have a program so that kids will be able to attend shows at the theater. Laura and Jess will be meeting with her on March 16th. Seth got us a space to use for meetings at his office. This was Ryan's first meeting. Meg got a book donated and signed by one of her professors to be raffled off at Benefit. Whitney: (list brought to meeting)

  • Donation letters: sent to 20 local businesses/restaurants, Cranmore Mountain Resort (Beth) and Rhea—jewelry donation

-rec'd donations from: Storyland, Santa's Village, Mill Falls, Silver Cultural Arts Center. Also, donation from Jill Gilbert—she sells Lia Sophia Jewelry—she donated a gold necklace, earrings and bracelet

  • Raffles: I have bought red/white Hawaiian print paper and will be covering coffee cans which we can use for the tickets—I will also do write-ups for each prize

  • Prom Dresses: Put together a fun flyer for the event. Will create an insert as well to list the sizes, colors and # of dresses we have. I have about 12 right now and need to schedule pick-ups for 4 or 5 more.

  • Donation Letter to the Lodge (Dad)

  • Hats—Any Design Monogram Embroidery, Inc. They have already been contacted and they will do the hats for us. My Dad will be donating 50 hats!!!

  • Contact with Adrienne Maria Vrettos, Pam's cousin

  • Skateboarding Contest—found a cool website—concretedisciples.com They list all the skate parks in each state—this will be a good place to start our search!!

  • The Bridal Suite—Salem, NH. This bridal shop is closing down in June. My friend Pam let the woman know that we are doing the prom dress event, so I emailed her to see if we could get dresses donated for next year, when she cleans out her inventory.

Other Business

  • On March 24th, the night of our benefit, Jess has to attend another event for Main Street Plymouth as well. She will be leaving our dinner early to attend the one for Pemi Youth Center

  • Liz will unfortunately not be able to attend out benefit dinner.

  • Whitney suggested a newsletter after benefit to keep all of our supporters in the know in regards to the foundation.

  • Fundraising

-Skateboarding Contest - Laura contacted Rye Air Field. We cannot hold our event there, yet we can set up a table and promote the foundation and sell FHL stuff—hats, tees.

-Hair Salon event—Locks for Love

-Ryan suggested a Golf Tournament to be held at a course in Lebanon, NH. He will get working on that to be held either this coming summer or fall.

-Patrick's, Papa Gino's

-Dunk Tank (Jess has access to one)

-Soul Fest

-Crispy Creme

  • Ryan also mentioned that parent's in his class own their own business and work with mosaic and stained glass. Vases for benefit?

  • Prom Dresses

-Letters to Guidance Depts. at local high schools

-Include insert so it is known the sizes of the dresses and how many

-Refreshments—Key Club (Laconia High School)

  • Plan speaking events: put together letter in August and send out to schools, presidents of clubs, create a “leadership council.” Plan a day long event at the beginning of the school year for clubs to come and see what we are about.

  • PSU Volunteers meeting on March 26th: maybe try and put together committees for foundation, get ideas from volunteers

  • Raffle Tickets - all agreed on price of $1 each.

For next meeting everyone will do the following:

Laura: program for benefit, talk to Bryan about hat design, contact Dan Carter and confirm for March 24th

Jess: Contact DJ and confirm for March 24th, get favors done, provide Whitney with book and ticket information for raffle

Ryan: Contact parent's in his class for vases, work on Golf Tourney

Seth: website—look into have our own domain and also each having an email address for the foundation

Liz: meet with Jess and Laura for to-do list on March 26th

Whitney: place cards for benefit, collect more dresses, send letter to Rhea to let her know total # of necklaces sent for donation

Thursday, March 29th

Laconia, NH

 

 

Laura called the meeting to order at 8:14 pm

President's Report—Laura

  • Benefit—picked up centerpieces from Winnisquam and balloons from Laconia party store

  • PSU Volunteers Meeting

  • Keno

  • Met with financial advisor—had one hour free—got some good advice in regards to budget and staffing the foundation

  • Got taxes done with Seth—all went well

  • WE ARE 501C3 CERTIFIED!!! AS OF MARCH 21st!

  • Called Ms. NH's agent again…possible appearance?

Secretary's Report

  • Went over last meetings minutes

  • Approved

Treasurer's Report

  • Seth gave a run down of what we should have netted from benefit—should have been around $1500

Board Member's Report

Jess: On March 10th Laura and I spoke to the PSU class of 2007, which went very well.

  • On March 16th I met with Diane Jeffrey, the Director of Plymouth State Silver Center. She gave me a bag of gifts to raffle off at the benefit dinner and also left many events catalogs. She offered to partner with us in the future and would love to have us bring kids to future shows.

  • Picked up candles for benefit dinner and turned them into favors with my mother.

  • Stayed in close contact with the DJ's to ensure their arrival at the event.

  • Sent out thank you letters to Joe Long, Alumni Director for the invitation to speak to the PSU class of 2007 and also to Diane Jeffrey, Director of PSU Silver Center.

  • Made a general information flyer to pass out at the Plymouth Volunteers meeting with Laura on March 26th.

  • Advertised for prom dress event.

  • Cancelled the UNO's fundraiser and spoke to them about the possibility of rescheduling in the future.

Seth: Attended meeting with Accountant

  • Began organizing FH&L finances

  • Researched internet hosting plans and suitable domain names

  • Performed preliminary P&L report for the Hart's Benefit

  • Created receipt and expense sheets for board members

Whit: Took home necklaces from Rhea @ QVC. Counted them and provided the documentation to her to let her know how many units we rec'd.

  • Collected more prom dresses

  • Raffles: did the write-ups for each prize, got coffee cans from mom

  • Wrote out place cards (most of them)

  • Rec'd another donation from Jill Gilbert to raffle off—BIG TIME THANK YOU TO HER!!

  • Put together donation letter with article from Plymouth Mag for my dad to present to his lodge—since we are not cert. yet, I am having him wait till we are to bring it to the meeting and ask for donation

  • Got prom flyers together, printed off for meeting

  • Started tally of how many dresses we have and what sizes

  • Started a binder to keep track of all of our events, who donated, who attended…etc. so we will know who to contact for future events, for thank you's and to keep track of what we have accomplished.

  • Put together a small packet for Rhea to send her- favor/program from benefit and also prom flyer…to show her what we have been/are doing

New Business

  • WELCOME to our new board member Meg!—all approved

  • Website: cheapest found $84 a year—faithhopeandlovefoundation.org is available!!

  • Motion to have Seth use funds and create new domain

  • All approved

  • Soul Fest--$800 for 4 days, can be free if we have 25 volunteers per day. Its August 1-4th (W-Sat.)

  • Business Cards—printed by Bryan McCormick

  • Meeting Schedule—we all need to agree on times we meet to avoid any craziness. Agreed for next meeting to be on April 29th after prom event at Jess' home. After that we will try and keep our meetings on a Sunday…we are going to shoot for last Sunday of each month

  • Benefit Recap—“dream come true”—one change—cheese and crackers—bad location-no one knew they were even there

  • Emily Sylvester—Enterprise Rental Cars—grant from Enterprise, Jess said she would prepare necessary paperwork

  • Jess prepared thank you letter to send out to our guests and supporters from Benefit—all approved

  • Laconia Savings Bank—send donation letter to Pete Giordino III

For next meeting:

Meg—distribute flyers around PSC campus

Seth—sort through finances, website

Whit—prom letters—mail out, thank you's, donation letter to Laconia Savings Bank
